Abstract submission

  • What language will the conference be in? 
    • The conference will be held in English, and presentations should be made in English.
  • What is the deadline for submission of abstracts? 
    • Abstracts must be submitted by midnight (in Reykjavik) on 12th January 2023.  The abstract submission has been closed.
  • What happens after I submit my abstract? 
    • Abstract evaluation is finished
  • Is it possible to stipulate which day I would prefer to present on? 
    • We ask all authors to be available for presentation at any time during the conference, including both the first and last sessions. However should you have an unavoidable time constraint, we can try to take this into consideration when allocating time slots. This is only possible in the first phase of programme planning, so please inform us as soon as possible. Please note that we may not be able to accommodate all requests. 
  • When will I hear whether my abstract has been accepted? 
    • Notifications of acceptance have been sent to presenters; chairs of symposia; workshops organisers
  • Will it be possible to change my abstract if it is accepted? 
    • You might be asked by the Scientific Committee to make some minor changes to your abstract (such as spelling mistakes). Otherwise, it will not usually be possible to change your abstract once it has been submitted.  
  • If my abstract is not accepted can I still attend the conference? 
    • Yes – we would still be glad for you to attend the conference even though you will not be presenting your own work. 

Conference Registration 

  • As a presenter at the conference, do I need to register as a participant and pay the registration fee? 
    • Yes – in order to attend the conference and present your work you must be a registered delegate. 
  • I am not presenting at the conference but my colleague is presenting our work – do I need to register for the conference? 
    • Yes – you do need to register to attend the conference. 
  • Is it possible to register for only one or two days of the conference? 
    • No – we are unable to provide this option. 
  • What payment options do you offer? 
    • You can pay with a card directly on this site: https://ecdv.hi.is/registration/
  • Are there any discounted registration rates for the conference? 
    • If you register for the conference by 27th April 2023 you will benefit from a discounted rate. There is also a reduced rate for current PhD students (although the number of reduced places for PhD students is limited). 
  • When is the latest I will be able to register to attend the conference? 
    • If you have had an abstract accepted to present at the conference then you must register by 27th April 2023 to attend the conference. If you are not registered to attend the conference by this date then your abstract will be removed from the conference programme. 
    • If you are not presenting at the conference then you can register up until 15th August 2023. 
  • What does my conference fee include? 
    • The conference fee includes entry to all the scientific sessions of the conference including keynote plenaries and parallel sessions. It will also include a copy of the abstracts for all presentations. The registration fee includes lunch on 11th, 12th and 13th September 2023 and coffee breaks on all three days. Finally, it also includes the official Welcome Reception on the evening of 11th September 2023. 
  • Is the conference dinner included in the registration fee? 
    • No – we appreciate that not everyone may wish to participate in the conference dinner, so this is charged separately. Please do reserve your place at the time of registering for the conference as we cannot guarantee that places will be available at a later time. 
  • Will I be reimbursed if I am unable to attend the conference? 
    • Cancellation and full refunds are possible until the 4th of August. August 5th –August 31st a 15% charge is withheld, in case of cancellation. 
    • No refunds are possible after August 31st. 
  • Where can I access an invoice for the payment of the conference ticket?

Travel and Accommodation 

  • Are there any preferential accommodation rates for conference attendees? 
    • There are no preferential rates for conference attendees. We do encourage attendees to book accommodation well in advance. You can find details of suitable accommodation on this page and at Visit Reykjavik

Scientific Programme and Presenting 

  • Can I ask for my presentation to be in a different parallel session? 
    • The programme planners aim to group submissions with similar topics into a session. Please note that requests of authors to move their presentation to a different session which they would find more suitable cannot be considered.
  • Do I need to submit a full paper of my presentation before the conference? 
    • ECDV does not issue conference proceedings, so you do not need to hand in a full paper. Nevertheless, you should have a drafted version of your paper/presentation prepared in order to pass it on to interested colleagues who may contact you during the conference. 
  • Will the ECDV publish conference proceedings? 
    • The ECDV does not publish conference proceedings. 

Additional needs

  • I have dietary requirements/preferences – will these be provided for? 
    • At the time of registration please tell us about any dietary requirements you have and we will share these with the conference hotel. 
  • I have accessibility needs – will these be provided for? 
    • At the time of registration please tell us about any accessibility requirements you have and we will seek to accommodate these were reasonable to do so. 
  • Will the conference be broadcasted on video and/or will here be a replay?
    • There will not be broadcasts nor replays.
